Japan has applied the Hague Apostille Convention since July 27, 1970. Public documents from other Convention countries – civil-status certificates, diplomas, police certificates, notarial deeds, court decisions and company documents – are accepted in Japan with an apostille from the issuing country, unless an Article 12 objection is in force between the two states. No embassy or consular step is required.

No Contracting State objects to Japan’s participation, so foreign documents with an apostille are accepted by Japanese immigration, municipal offices, courts and the Legal Affairs Bureau for company registrations. Japanese public documents for use abroad, such as family register extracts (koseki), are apostilled by the Ministry of Foreign Affairs; for some notarised documents a notary office can arrange the apostille in the same step.

A Japanese translation is normally required. Many offices accept a translation signed by the translator with name and contact details, but requirements differ, so ask the receiving office before translating.

Typical cases are marriage registrations at municipal offices, documents for work and residence visas, company formation and appointment of foreign directors, and inheritance and property matters involving Japan.

Notaryzer handles it end to end: the notary reviews your application, we organise the apostille or legalisation in the issuing country, arrange the translation and ship the result to you or directly to the recipient in Japan.

  • Ask the Japanese office whether a translator’s statement is enough or a certified translation is needed
  • Marriages: check the municipal office’s list for proof of legal capacity to marry
  • Company registrations: prepare signature certificates or affidavits for directors without a Japanese seal
